Job purpose:
 
Support manager(s) and execute administrative tasks with a high level of pro-activity and complexity according to process and company values (DSO principles), contribution to process improvements and trainings.
 
What you do:
 
  • Direct cooperation with manager/s, providing business support and executing requests with a high level of complexity according to process documentation (ex. calendar, travel and meetings management)
  • Understand, monitor and take proper action regarding KPIs
  • Support, follow-up, escalate and seek for solutions of identified issues across teams
  • Propose and contribute to process improvements and identify process exceptions, update official process documentation
  • Prepare and conduct internal trainings (process and tools related) in form of 1:1 work shadowing or/and group trainings
  • Organize and participate in problem solving groups
  • Peer advice and support to the team in daily tasks
  • Support TL, experts and the team in operational topics, follow-up on issues/escalations
  • Preparation and creation of training material (internal)                                 
  • Provide knowledge transfers and trainings to new hires

Who you are:  
  • Experience in Shared Service Center Set-up
  • Proven professional experience (4-8 years) in the respective position
  • Have an advanced knowledge of the relevant IT systems (ex. SmartBuy, Concur)
  • Ability to use Microsoft Office 365 on advanced level
  • Understanding of the main and related Business Support processes 
  • English at least C1, fluent in written and spoken; as a second language German would be an advantage
  • Strong communication skills with stakeholders of all levels
  • Ability to work independently and to work collaboratively within a team
  • Ability to operate in a highly intercultural environment
  • Extraordinary customer service skills
  • Dedication and accuracy
  • Organizational skills, motivation and eagerness to learn
  • Flexibility in accepting new challenges (e.g. transitions, projects)
  • Strong interpersonal and problem-solving skills required for investigating, responding and solving stakeholder issue
